Instructions for Authors

  1. Paper Format and Language:
    The format of the paper should follow the IEEE conference paper style. You can download a template and style guide here. All submitted papers must be original, written in English, and formatted according to the IEEE conference paper style. Templates and style guidelines are available on the IEEE website. Papers should be prepared in PDF format.
  2. Page Limits and Extra Charges:
    Each paper is limited to five (5) pages. Authors may extend their papers up to seven (7) pages, but an additional page fee will apply for pages six and seven. Detailed fee information will be provided under the Registration section on the conference website.

  4. Review and Publication:
    • All submissions will be peer-reviewed for originality, technical quality, clarity, and relevance.
    • Accepted and presented papers will be published in the EPEC 2025 Proceedings and submitted for inclusion in IEEE Xplore.
  5. Extended Journal Opportunities:
    Approximately the top 15–20% of accepted papers will be invited to submit extended versions for consideration in the IEEE Canada Electrical Power and Energy Conference (EPEC). These extended manuscripts must significantly expand upon the conference paper and will undergo a separate peer-review process according to the journal’s standards. Authors should cite their original conference paper and ensure that the extended version aligns with EPEC’s scope and quality requirements.

Important Dates

Paper Submission: April 22, 2025
Acceptance Notification: June 15, 2025
Camera-ready Paper: August 15, 2025
Conference Dates: October 15-17, 2025

Final Paper Submission and PDF Certification

Before uploading your final manuscript:

  1. IEEE PDF eXpress:
    You will be required to check and certify your final PDF using IEEE PDF eXpress. The conference’s PDF eXpress Conference ID will be provided to authors upon acceptance (please refer to the acceptance notification or the conference website for updates).
  2. Registration and Copyright:
    • Log in to EDAS, locate your accepted paper, and click the “Register” icon to complete the author registration process.
    • Make sure you add all accepted papers to your registration basket to streamline payment and documentation.
    • Complete the IEEE Electronic Copyright Form for each accepted paper.
  3. Final Upload to EDAS:
    Once your PDF has been validated by IEEE PDF eXpress and you have completed registration and copyright steps, upload the final certified PDF through EDAS.
